This policy covers information Oztec (Pty) Ltd holds in its own right — about our clients, and about people who contact us through this site. The information your website's visitors send you is covered by the operator section of our Terms of Service, because there you are the responsible party and we act on your instructions.

What we collect, and why
If you ask us about a website
The form on this site collects your name, your business name, your phone number or email, and whatever you tell us. We use it to reply and to quote. Giving it is entirely voluntary; the only consequence of not giving it is that we cannot get back to you. No law requires us to collect it.
If you become a client
We hold your business details, contact details, billing information and our correspondence with you. We need it to provide the service, to invoice you, and to keep the accounting and tax records the law requires.
If we approached you first
We build sample websites for businesses from their public Google Business Profile — the business name, category, address, phone number, opening hours, rating and public reviews — and then show the business what we made. That information is already public and is about a business rather than a person, but where a public review names an individual we treat that name as personal information and use it only on the page it came from.
Section 69 of POPIA lets us approach you once by electronic means to ask whether you are interested. If you say no, or say nothing, we stop. If you ask us to delete what we hold about your business, we do, and we take the sample site down.
If you read this site
We count visits using the same cookieless method described on every site we host: no cookie, no stored IP address, and a per-day code that cannot be reversed or matched across days. There is no advertising tracking on this site and no third-party analytics.
What allows us to process it
Section 11(1)(b) — steps at your request before a contract; section 11(1)(a) — your consent, where we asked for it; section 11(1)(c) — where a law obliges us, such as tax records; and section 11(1)(f) — our legitimate interest in running and marketing our own business, which is the basis for the sample sites described above.
Who else sees it
- Our email provider, for sending and receiving mail.
- Our bank and our accountant, for payments and records.
- SARS, a court or a regulator, where the law requires it.
We do not sell personal information, and we do not share it for anyone else's marketing.
Where it is kept
Our systems and data are hosted in South Africa, with XEE Holdings (pty) Ltd. Personal information is not transferred outside South Africa, so section 72 of POPIA does not arise. If that changes, this page changes first.
How long we keep it
- Enquiries that do not become clients: 24 months, then deleted.
- Client records: for the life of the agreement and five years after, which is what the Tax Administration Act requires.
- Sample sites for businesses that declined: deleted on request, and in any event within 12 months.
- Visit statistics: reduced to daily totals within 90 days.
How we protect it
Encrypted connections throughout, access-controlled databases, and access limited to the people who need it. Section 19 of POPIA requires reasonable technical and organisational measures, and we review ours when the service changes. If a compromise happens we notify the Information Regulator and anyone affected, as section 22 requires.
Your rights
You may ask what we hold (s23), ask us to correct or delete it (s24), object to processing based on legitimate interest (s11(3)), or withdraw consent you gave. Write to xien@oztec.co.za. No form, no fee.
